Managing the strategy more effectively

Protime 360° is also a handy reporting tool for management, which is not always directly involved in the projects. In addition, we can easily check whether projects fit within our business strategy.

Better communication, fewer e-mails

There has been a marked decline in the amount of administration and a reduction in the volume of e-mail communication at all levels.

Everyone always up to date

Everything is stored centrally, which means everyone can view up-to-date information and the history of the various projects

Challenge?

Because different people and processes are always involved in this, in the past such projects have often led to a torrent of e-mail traffic. The impact of this: inefficient monitoring and a lack of overview.” “

We also wanted to get our people and teams to collaborate more effectively and minimise lost time,” says General Director, Guy Couder. “So we quickly arrived at Protime 360°, the collaborative platform that helps colleagues to combine projects and objectives and lead them to a successful conclusion.”

“Protime 360° is used by all stakeholders involved in the various phases of our projects”, Kurt Roothans points out. “At the pre-sales stage, at start-up, during implementation, delivery, and maintenance, …

All those who are involved can add information and updates, provide comments, share files with one another and check off completed tasks. Protime 360° is also a handy reporting tool for management, which is not always directly involved in the projects.”

Chasing e-mails and information is now a thing of the past

“Everything is done in a transparent, user-friendly and flexible environment,” asserts Guy Couder. “Every person, who is involved, is given an up-to-date view of progress. Documents - for example, reports from a sales meeting or a survey - can also be added. Everything is kept centrally, which means everyone can view up-to-date information and the history of the various projects.”

There is a clear consensus within PHI DATA: Protime 360° has dramatically boosted efficiency and productivity. There has been a marked decline in the amount of administration and a reduction in the volume of e-mail communication at all levels.

“Protime 360° has greatly encouraged the conscious handling of information. Miscommunication is now something that is avoided.”

A smooth and rapid roll-out

mplementation was, in its own words, smooth and rapid. Kurt Roothans: “One morning we sat around the table with Protime to discuss our preferences and to outline our thoughts. The roll-out took a few weeks, and in the ensuing months there was a period of additional fine-tuning. Protime has overseen and supported us really well throughout the process. We were given lots of usable tips, but it quickly became clear that everything was self-evident.”

The launch of Protime 360° also seemed to be an important test case for PHI DATA. “The platform has helped us to map out and analyse our processes,” explains Guy Couder. “That was somewhat confrontational. In addition, we can easily check whether projects fit within our business strategy.”
